In 2024, KWC Group Management AG launched a far-reaching IT transformation in collaboration with the TIMETOACT GROUP as a result of a carve-out. The goals: stabilize operations, future-proof the IT landscape, and significantly improve governance. As part of the collaboration, KWC and TIMETOACT GROUP established an international IT Service Delivery Hub, introduced a new IT Service Management (ITSM) tool, and optimized supplier contracts. The result: strengthened governance, sustainable cost reduction, and increased digital scalability for the business.

Strategic Partnership Since Early 2024
At the beginning of 2024, KWC Group Management AG (KWC PROFESSIONAL) and TIMETOACT GROUP GmbH entered into a strategic partnership. Initially, the focus was on supporting the adaptation of SAP licensing agreements as part of a carve-out, i.e., the separation of a business unit. This engagement evolved into close collaboration on IT transformation, governance, and operational efficiency.
Chief Digital Information Officer Sets IT on Track
In July 2024, Dr. Jan Hachenberger, Director of Strategy Consulting at TIMETOACT GROUP, took on the interim role of Chief Digital Information Officer (CDIO a.i.) to stabilize IT operations and coordinate the separation of the KWC HOME business unit from KWC Professional. A comprehensive analysis revealed weaknesses in infrastructure, applications, and contracts. In response, KWC and the interim CDIO brought in new partners, including novaCapta GmbH for the service desk and CSV GmbH for SAP support, and developed a roadmap to transition from the Current Mode of Operations (CMO) to the Future Mode of Operations (FMO).
Establishing an IT Service Delivery Hub
In 2025, KWC established an IT Service Delivery Hub (ITSDH) in Ras Al Khaimah, United Arab Emirates. Five full-time system engineers took on responsibility for core operational functions, including the service desk, infrastructure management, and IT security. At the same time, external service contracts were reduced and realigned strategically to eliminate redundancies. Interim roles were gradually replaced with permanent positions in key areas, such as Head of Applications, Head of Infrastructure, and Solution Architect.
Redesigning IT Operations & Service Management
In order to implement the FMO, KWC restructured its IT service management. A key measure was replacing ServiceNow with Xurrent, which was deployed in under two months. Since then, standardized processes, role-based documentation, and clearly defined responsibilities within the system have increased transparency, efficiency, and control for the team.
Optimizing Supplier Contracts
Another key initiative of the collaboration was streamlining supplier contracts. This was made possible by the establishment of the ITSDH and the off-boarding of KWC HOME. Through consolidation, right-sizing, and renegotiation, KWC reduced cost risks, improved price stability, and optimized termination periods. This resulted in sustainable budget relief and strategically manageable supplier relationships.
Carve-out requires system separation
In 2025, KWC PROFESSIONAL coordinated KWC HOME's off-boarding. This included separating Active Directory, file services, email systems, and collaboration platforms. The goal was to ensure data integrity and compliance while establishing a clear distinction between the two systems. The entire application landscape was involved, including SAP Public Cloud, SAP SuccessFactors, SAP Concur, ATOSS, Pimcore, and PTC Windchill.
With TIMETOACT, we aligned our IT from CMO to FMO. In less than a year, we established the IT Service Delivery Hub in the United Arab Emirates and implemented a new ITSM tool. By consolidating IT service providers, we improved transparency and control and reduced IT run costs by over 20 percent. We’ve laid the foundation for scalable simplicity and a cloud-first IT landscape.
