Successful cloud migration at Wien Energie

Wien Energie was already using Jira and Confluence Server as core elements of its project management and collaboration processes. The decision to move from server to cloud was based on the need to continue to ensure the higher security standard, to improve scalability and to further optimize workflows. The server-based systems reached their limits when it came to integrating new technologies and enabling collaboration from any location. In addition, the manual administration of updates and the increasing security requirements posed challenges.

Until the migration, Wien Energie used various apps for its workflows, in addition to Jira and Confluence. These played a central role in its processes. The strong networking of the existing instance with the support infrastructure of WienIT brought a special complexity with it. An automated exchange of tickets and information, as well as parallel workflows, were an integral part of the existing system. The time-critical situation required a swift migration to ensure a smooth transition and avoid disruptions to day-to-day operations. However, the most crucial component for Wien Energie was data storage in the EU. Since the Atlassian cloud met this criterion, the choice was not difficult.

A particular challenge during the migration: the apps used and intensively utilized by Wien Energie were not available in the cloud. The catworkx experts solved this problem, among other things, by replacing some of the apps with a Jira-owned solution, in this case Plans (Advanced Roadmaps). Teams that had previously worked intensively with the apps were initially critical of the change. However, the targeted demos of alternatives helped to dispel these concerns. Overall, the new, more modern design of the cloud environment was well received by the company.

The migration finally allowed Wien Energie to issue the much-needed licenses that had previously been impossible due to bottlenecks in the on-prem version of user licensing. The cloud migration has solved this problem, and licenses can now be issued according to the user. After the successful migration, Wien Energie is now focusing on ensuring ongoing operations in the cloud, implementing user requests and supporting teams in how the new tools and features can best be used.

The migration to Jira and Confluence Cloud enables Wien Energie to work more flexibly, securely and efficiently. Teams benefited from new features, seamless collaboration, and improved scalability.
